Staff & roles

Add colleagues, give them the right access, and remove them cleanly when they leave.

Every member of staff gets their own login. That is what makes the audit trail meaningful — every consultation, payment and stock adjustment carries the name of whoever did it.

Adding a colleague#

  1. Go to SettingsAdd User — or open User List and tap an existing colleague to change theirs.
  2. Enter their email address — this is the login, and it must be unique.
  3. Enter their display name. This is what appears throughout the system, so use the name colleagues would recognise.
  4. Tick the roles they need.
  5. Save.
Careful
The email address is the login. If it is wrong, the person cannot sign in at all — check the spelling before saving.

Choosing roles#

The screen shows each role as a card you tap to select, with a summary of what it grants. Tick every one that applies.

Roles add together. A vet who also manages the practice needs Doctor, Receptionist and Admin.

Note
A user with no roles at all can sign in but lands on a “No access yet” message instead of the home screen. If a new colleague reports that, their roles were never ticked.
Tip
Give the smallest set of roles that lets somebody do their job, and add more when they need them. It is the simplest way to keep prices and settings from being changed by accident.

Display names#

The display name is used everywhere a person is shown — queue cards, consultation records, audit trails, the welcome message on the home screen. Set it properly and colleagues can tell at a glance who did what.

Note
Without a display name FastVet falls back to the part of the email address before the @, which is rarely what you want on a clinical record.

When somebody leaves#

Remove their access rather than deleting the person. Their name stays attached to the work they did, which is what a clinical and financial audit trail requires.

  • Removing access stops them signing in immediately.
  • Their past consultations, payments and notes are untouched.
Careful
Never hand a leaver's login to their replacement. From that point on the records no longer say who actually did the work.
