Boarding

Check animals into boarding, keep a daily record of their stay, move them between runs, and check them out onto an invoice.

Boarding works almost exactly like a hospital admission — a stay made up of daily records, invoiced once at checkout. The differences are that boarders are assigned to a location (a run, kennel or cattery pen), and the daily record is about care rather than treatment.

Who can do this
As with hospital stays, the boarding list is open to Doctor and Receptionist, but adding days, moving, discounting and checking out need the Doctor role. Give kennel staff Boarding Hand alongside Receptionist so boarding price items show up for them.

Preparing a boarding admission.
  1. Open the client and their patient.
  2. Start a boarding admission.
  3. Choose the location the animal will occupy.
  4. Record the expected dates and any feeding, medication or handling instructions.
  5. Confirm. The animal now appears on the boarding list.
Tip
Put feeding and medication instructions in the admission notes rather than passing them on verbally. They are then visible to whoever is on shift.

Each day of the stay gets a record covering feeding, exercise, medication given, observations and anything chargeable — a bath, a nail trim, extra food.

SectionWhat you record
VitalsWhere the animal is on medication or being monitored.
Treatments & materialsMedication given and consumables used.
ProceduresExtras such as a groom or a bath.
NotesHow the animal is doing — appetite, mood, anything the owner should be told.
Note
As with hospital stays, you add each day as it starts and nothing is invoiced until checkout.

Moving between locations#

Animals get moved — a quieter run, a bigger pen, a change to isolate one that is unwell. Move in the footer of the stay records it, which keeps the boarding list accurate so staff can actually find the animal.

Checking out#

  1. Open the stay and review its summary.
  2. Press Check Out in the footer.
  3. Confirm the checkout date.

Checkout closes the stay, totals every day into one charge on the client's account, and sends them to the payment queue.

The buttons sit with the thing they act on, exactly as on a hospital stay. The Stay Summary card holds Add Reminder and Text Owner at the top with the follow-ups, and View Bill and Send Bill at the bottom under the total they would send. Add Day closes the list of days. The footer keeps only Check Out, Move to change location, History and Guests to go back to the boarding list.

A stay can carry as many follow-ups as it needs — press one to change it, or the bin to remove it. A stay-wide discount works exactly as it does for hospital stays.

Note
Checked out by mistake? On the client's account the boarding charge carries a Readmit button, which reopens the stay and reverses the invoice together.

Setting up locations and descriptions#

Before you can board anything, an administrator defines the places animals can go and the labels you use for them.
